How to Write a Rent Receipt: A Step-by-Step Example for Landlords

A worked example of a rent receipt, filled in line by line, with the mistakes that cause disputes later and a simple monthly routine for landlords and tenants.

A rent receipt takes two minutes to write and can save months of argument. If a tenant ever disputes a payment, or a landlord needs to prove income, the receipt is the evidence. This guide walks through one receipt, line by line, so you can see what each part is for.

The example

Imagine a tenant, Daniel, pays his August rent of 1,250 dollars by bank transfer on the first of the month. Here is how the receipt should be filled in.

  1. Receipt number: 0148. Number every receipt in order. A missing number in the sequence is the first thing anyone checks in a dispute.
  2. Date: 01 Aug 2026. The date the money actually arrived, not the date it was due.
  3. Received from: Daniel Osei. The full name of the person who paid, as it appears on the tenancy.
  4. Property: 14 Rosewood Ave, Unit 2B. The complete address, including the unit number. "The flat" is not enough if you own more than one.
  5. Period: 1 Aug - 31 Aug 2026. The exact rental period this payment covers, written as a start and an end date.
  6. Amount: 1,250.00. In figures.
  7. Amount in words: One thousand two hundred fifty dollars only. The same amount, written out. A figure can be changed with a single stroke of a pen; a written line cannot be changed without it showing.
  8. Method: Bank transfer, reference 55120. How it was paid, with a transfer or cheque reference if there is one.
  9. Balance due: nil. What is still owed after this payment. Write "nil" rather than leaving it blank.
  10. Received by: The landlord's or agent's name and signature.

The four mistakes that cause trouble later

Writing "rent" without a period

A receipt that says "rent, 1,250" could apply to any month. When a dispute comes, nobody can match it to a specific payment. Always write the dates.

Leaving the balance blank

A blank balance can later be read as "nothing was owed" or "the landlord forgot". Write the real figure, even when it is zero.

Reusing numbers

Starting again at 001 every year, or for every tenant, makes the record harder to check. Use one running sequence.

Not keeping a copy

The tenant keeps the receipt, and the landlord keeps an identical copy. A PDF makes this easy: save one, send one.

A simple monthly routine

  • On the day the money arrives, open the rent receipt template and fill it in.
  • Export the PDF and send it to the tenant the same day.
  • Save your copy in a folder named by year, with the receipt number in the file name.
  • At tax time, the folder is your income record.

If a tenant pays in instalments, each part needs its own receipt with the balance written on it. See how to record a deposit or part payment.

Fill one in now

The rent receipt template has every field above, writes out the amount in words for you, and exports a clean PDF. Nothing you type is uploaded, and there is no account to create. If you prefer paper, print it blank and fill it in by hand.
