A receipt book, with your name at the top

Plenty of businesses still take payment by writing a receipt from a printed book: a landlord collecting rent, a school collecting fees, a trader taking a deposit on an order. This template is one leaf of that book, laid out the way those books are, with your own logo and details printed across the head instead of a blank space for a rubber stamp.

• Your logo, business name, address and phone numbers at the head
• A numbered receipt box, so every copy can be traced
• The date and who the money was received from
• The amount written out in words, with the currency printed at the end of the line
• What the payment was for, and the cash or cheque reference
• An advance and a balance, each split into the main unit and the minor unit
• A signature line for whoever received the money

Advance and balance: recording a part payment

A lot of payments are made in parts: a deposit on goods to be collected later, rent paid in instalments, school fees spread over a term. The Advance line records what was paid today, and it is the same figure the Sum line spells out, so the two cannot disagree. The Balance line records what is still owed.

Leave the Balance empty when a payment settles everything. If you want the receipt to say plainly that nothing is outstanding, type 0 and it prints as a zero rather than as an empty line.

Why the amount is written out in words

A figure on a receipt is easy to alter: a 5 becomes an 8, a zero is added to the end. The amount in words is much harder to change without it showing, which is why receipt books have always asked for both. The builder writes the words for you from the figure you type, so they always agree, and the currency's name is already printed at the end of the line the way a printed book has it.

Naira, kobo and eleven other currencies

The template opens in naira: the naira sign in the first bracket, a k for kobo in the second, and Naira printed at the end of the Sum line. Choose another currency and all three follow it, so a receipt in dollars shows the dollar sign, a c for cents and Dollars. A currency with no minor unit, such as the yen, drops the second bracket rather than printing an empty one.

Printing a pad to fill in by hand

Every label and ruled line prints whether or not it has been filled in, so the leaf works as a form. Fill in the parts that never change, which is your logo and your business details, and print as many as you need. Each copy then only needs the date, the payer, the amount and a signature written in.

The exported PDF is A5 landscape, the size of a receipt-book leaf, with real text in it rather than an image, so it stays sharp at any print size and can be searched and copied from.
