A payment receipt is issued by whoever received money, to whoever paid it. It is the counterpart to an invoice: the invoice requests payment, the receipt confirms it arrived. Any transaction without an automatic paper trail benefits from one.

Deposits and outstanding balances
The most common weakness in a handwritten receipt is that it records the amount received but not what remains owed. Six weeks later, neither party remembers whether the $340 was the whole job or the deposit on it.
Record the balance due explicitly, even when it is zero. Writing a zero is a positive statement that the transaction is closed, and it removes the ambiguity a blank line leaves behind.
Recording the payment method
The method matters because it determines what other evidence exists. A transfer has a bank record on both sides and a reference number that ties the two together; cash has nothing but the receipt itself. Ticking the method and recording the reference for non-cash payments means the receipt can later be matched against a statement.
For checks, record the check number. For transfers, record whatever reference appears on the sending account.
Keeping a copy
A receipt only settles a dispute if both sides can produce it. Issue the original to the payer and keep a duplicate, either a second printed copy or the saved PDF. Sequential receipt numbers make a missing record visible; random or restarting numbers do not.
Common questions
Does a cash receipt need to be signed?
A signature from the person who received the money is what distinguishes a receipt from a note. The template includes a signature line for this.
Can I use this for a deposit rather than a full payment?
Yes. Enter the amount received and the balance still due, and the receipt states both explicitly.
Is a printed receipt as valid as a handwritten one?
A receipt's usefulness comes from what it records, not from being handwritten. A printed receipt with the same details, signed by the recipient, serves the same purpose and is easier to read.
Can I print blank receipts to fill in later?
