Free Itemized Business Receipt Template
A line-item receipt with automatic subtotal, discount, tax and grand total. Add rows, enter quantities and prices, and the arithmetic is done for you.
Build an itemized receiptItemized versus simple receipts
A simple receipt records one amount for one purpose. An itemized receipt breaks the total into individual goods or services with quantities and unit prices. The distinction matters more than it looks: many expense policies, insurance claims and tax deductions require the itemized form specifically, because a single total cannot be checked for non-claimable items.
If a customer is likely to claim the purchase back from an employer or against tax, issue the itemized version.
What each line should say
Descriptions should be specific enough that someone who was not present can tell what was bought. "Consulting" is weak; "Consulting, 6 hours, systems review" is defensible.
Quantity and unit price should be separated rather than pre-multiplied, so the line can be checked. The builder multiplies them and carries the extension into the subtotal automatically.
- A description that identifies the item without prior context
- Quantity as a number, and the unit price for one
- The line total, calculated rather than typed
- Subtotal before any discount or tax
- Discount as its own line, not folded into prices
- Tax label and rate stated explicitly
- Grand total, and the amount actually paid
Discount and tax order
The order of operations changes the total. This builder applies discount to the subtotal first and calculates tax on the discounted figure, which is the common treatment in most jurisdictions: tax is due on what the customer actually paid, not on a price they did not pay.
If your local rules differ, check the figures before issuing. The builder shows subtotal, discount, taxable amount and tax as separate lines specifically so the calculation can be audited at a glance.
Business details on the receipt
A receipt that does not identify the seller is difficult to use for anything. Include the trading name, address and a contact route, plus any tax registration number your jurisdiction requires on receipts. The builder has a business details block for this that prints at the top of the document.
Common questions
How many line items can I add?
There is no fixed limit. Add rows as needed; the document paginates on export.
Does it calculate tax for me?
Yes. Enter a tax label and rate and the builder calculates tax on the amount after any discount, showing each step as its own line.
Can I use a currency other than dollars?
Yes. Several currencies are supported, including zero-decimal currencies such as the Japanese yen, which are formatted correctly without decimal places.
Is the exported PDF text selectable?
Yes. Exports are generated with the jsPDF native text API, so the text is real vector text that can be selected, searched and parsed rather than a flat image.
