What a rent receipt should contain

A rent receipt is the tenant's proof that a specific payment was made for a specific period. Its usefulness in a dispute depends almost entirely on whether it is specific enough to be matched to one payment and one month.

• Receipt number, so receipts can be sequenced and gaps spotted
• Date the payment was actually received, not the date it was due
• Full name of the tenant who paid
• Name of the landlord or managing agent issuing it
• Complete property address including unit or apartment number
• The rental period the payment covers, written as a start and end date
• Amount in figures and repeated in words
• Payment method, and a reference number for transfers or checks
• Any balance still outstanding after this payment
• Signature of the person who received the money

Why the amount appears twice

Writing the amount in words as well as figures is a convention carried over from cheques, and it exists because a figure can be altered by a single stroke of a pen while a written line cannot be adjusted without it being obvious. On a printed receipt the practical benefit is smaller, but it also removes ambiguity about decimal separators, which differ by country.

The builder writes the words line for you from the figure you enter, so the two can never disagree.

Rent receipts and tax

In several countries a tenant can claim rent paid against a tax deduction or housing allowance, and the tax authority will expect receipts that identify the landlord, the property and the period. In others, a landlord is required to issue a receipt on request, particularly for cash payments. Requirements vary by jurisdiction, so check what applies where the property is; this page is general information, not tax or legal advice.

In every case, receipts covering discrete, clearly labelled periods are more useful than a single annual summary.

Issuing receipts for cash

Cash is the case where a receipt matters most, because no bank record exists on either side. Issue the receipt at the moment the money changes hands rather than later, keep a duplicate, and number receipts sequentially so a missing one is visible.
